5 Benefits-Reset Reminder Templates You Can Copy and Send Today

Your patients are about to lose their unused dental and paramedical benefits on December 31. Here are five ready-to-send reminder templates - for SMS, email, and social media - that you can copy, personalize, and deploy this week.

Why templates matter for the benefits window

The November-December benefits-deadline window is the highest-ROI marketing period of the year for any clinic that accepts insurance. But most clinics do not run a campaign because they do not know what to say, when to say it, or how to stay CASL-compliant. These templates solve all three.

Each template below is ready to copy and personalize with your clinic name, phone number, and booking link. They cover the four-touch SMS sequence, a matching email version, and a social media post - the complete campaign in a box.

Template 1: The early reminder (November 1)

SMS: 'Hi [Name], this is [Clinic]. Your dental/paramedical benefits reset January 1 - unused coverage doesn't roll over. Book before December 20 to use what's left this year: [booking link]. Reply STOP to opt out.'

This message does three things: reminds them of the deadline, creates gentle urgency without pressure, and makes booking one tap away. Send to your full active patient list.

Template 2: The coverage check (mid-November)

SMS: 'Quick reminder from [Clinic]: most plans cover 100% of cleanings and preventive care. Have you used yours this year? We direct-bill - you pay only your portion. Book here: [link]. Reply STOP to opt out.'

This message shifts from deadline to coverage - it tells patients what's actually paid for, which is the information most of them lack.

Template 3: The urgency message (early December)

SMS: 'Hi [Name], we have appointments available this month for year-end benefits use. We direct-bill [Sun Life/Manulife/Canada Life] - book by Dec 20 to use this year's coverage: [link]. Reply STOP to opt out.'

Name the carriers for maximum specificity. A patient who sees their own insurer's name in the message is far more likely to act.

Template 4: Last call (mid-December)

SMS: 'Last call from [Clinic] - Dec 20 is our final week for pre-deadline appointments. Your unused benefits expire Dec 31 and don't roll over. Book now: [link]. Reply STOP to opt out.'

This is the closing message. Keep it short, direct, and action-oriented.

Template 5: Social media post

Post (Facebook/Instagram/LinkedIn): 'Did you know most dental and paramedical benefits expire December 31? If you haven't used your coverage this year, now is the time. We direct-bill most major insurers - you pay only your portion. Book before December 20 to use what's left. [Link to booking page]'

Post this two to three times between November 1 and December 15, varying the wording slightly each time.

CASL compliance notes

Every SMS and email must identify the sender and include a working opt-out mechanism ('Reply STOP to opt out' for SMS; an unsubscribe link for email). An existing patient relationship generally provides implied consent for relevant messages, but honour opt-outs promptly and keep consent records.
